For team managers
If you run a translation team, agency, or in-house language department, Wordscope Team lets you manage Project Manager licences, monitor usage, and keep everyone on one subscription.
As the team manager (subscription owner), you:
- Subscribe to a Wordscope Team plan (Team Bronze, Silver, or Gold).
- Add Project Manager email addresses to your team roster.
- Monitor per-seat usage from the Usage tab and the roster table.
- Invite unlimited linguists to individual projects — linguists do not appear on the roster and are not billed.
Project Manager vs linguist — In industry terms, a Project Manager creates and assigns projects; a Linguist translates assigned work. With Wordscope Team you pay only for PM seats on your roster. Linguists open a project link and work under your subscription at no extra cost.

Subscribe to Wordscope Team
Here are the steps to subscribe to Wordscope Team
A/ Choose a plan
- Open the subscriptions page: https://pro.wordscope.com/subscriptions.php
- Select the Corporate / Agencies tab (Team).
- Choose a plan: Team Bronze, Team Silver, or Team Gold (per Project Manager seat).
- Choose Monthly or Yearly billing (yearly saves 10%).

Extra Volume: Additional AI-assisted words beyond each seat’s included allowance are available on Team Silver and Team Gold. Extra Volume is not available on Team Bronze. If you downgrade to Bronze, any extra volume is removed at the end of the current billing period.
Discount coupons & Bronze: You cannot downgrade to Bronze while a discount coupon is applied to your subscription. Discount coupons are not available on Bronze plans. Remove the coupon or wait until it expires before selecting Team Bronze.
B/ Add Project Managers to the roster
- Type or paste your Project Managers’ email addresses in the roster area (one per line, or separated by commas or semicolons).
- Click + Add to Team.

C/ Subscribe
- Review the roster table (emails, status, subscription tier, word usage).
- When you are satisfied, click Subscribe.

Invited users receive an email with instructions to sign up or log in. They must register with the same email address you added to the roster.
Newly added members may show status waiting validation until seat activation completes after payment. This can take a few minutes — refresh the page to update.
Adding or removing team members
After you have a Wordscope Team subscription, manage Project Manager seats from the Team roster on https://pro.wordscope.com/subscriptions (Corporate / Agencies tab).
Each person on the roster is a Project Manager seat. Linguists who only translate assigned projects are not added here — share the project URL with them instead.
Adding team members
1️⃣ Log in and open https://pro.wordscope.com/subscriptions → Corporate / Agencies tab.
2️⃣ In the Team section, paste email addresses in the text area (one per line, or separated by commas, semicolons, or spaces).
3️⃣ Click + Add to Team. New rows appear in the roster table below.

4️⃣ Review the roster (email, status, subscription tier, word columns).
5️⃣ Click Preview your changes

👉 Supported email formats: comma-separated (user1@example.com, user2@example.com), one per line, semicolon-separated, or space-separated.
👉 Invitation email: Added users receive instructions by email. They must sign up or log in with the same email address you entered on the roster.
👉 Status “waiting validation”: New seats may show as waiting validation (green row) until activation completes after payment. This can take a few minutes — refresh the page to update. While seats are waiting validation, some subscription changes are locked until payment completes.
👉 Edit email: Use Edit email on a roster row to correct an address before saving. The row turns yellow until you preview and confirm the change.
👉 Minimum team size: An active Team subscription requires at least two people on the roster besides you (the subscription owner). You can add more seats at any time.
Removing team members
1️⃣ In the roster table, find the Project Manager you want to remove.
2️⃣ Click Mark remove on that row. The row turns red and status becomes pending removal.
3️⃣ Click Preview your changes.

Notes :
👉 The seat decrease is scheduled for the end of the current billing period.
👉 To keep someone on the team after all, click Reactivate on a pending-removal row before the period ends, then preview again.
👉 Removal is deferred: Members marked for removal remain active until the end of the current billing period. They keep access and their usage counts until then. Seat billing decreases from the next period — there is no immediate credit for removed seats.
👉 Minimum team size: You cannot confirm removals that would leave fewer than two members on the roster besides you. The Mark remove button may be disabled, or preview will be blocked — undo a removal or add another member first.
👉 Before removing access: Tell affected Project Managers to back up translation memories and glossaries they need. After the billing period ends, they lose Wordscope Team access under your organization.
👉 Email notifications: Roster members are notified by email when you add them, schedule removal, or reactivate a seat.
Preview page
When you change your Wordscope Team subscription — plan, billing interval, roster seats, Extra Volume, or Cost Control — click Preview your changes before confirming. Wordscope opens a Preview page that summarises your cart and shows how billing is affected.
At the top you will see a summary, for example:
- Change plan — e.g. Team Silver → Team Gold (or unchanged)
- Billing — Monthly or Yearly (and whether it changes at the next period)
- Extra Seats — current count → new count after roster changes
- Cost Control · Max extra words — spending cap for billable extra words this period
- Extra Volume (words) — current block → new block of AI-assisted words
Below that, two sections show the financial impact: Charged today and Next invoice.

Charged today
This section shows what Wordscope will charge immediately if you confirm — usually as a prorated invoice for the rest of the current billing period.
Charged today applies when you increase something, for example:
- Upgrade plan tier (e.g. Team Silver → Team Gold)
- Add roster seats (Project Managers)
- Increase Extra Volume
- Switch billing from monthly → yearly
The table lists line items (plan, seats, volume, tax) and a total. Amounts are prorated: you pay only for the portion of the current period remaining until your next billing anniversary date.
Notes:
👉 If you only make changes that take effect later — plan downgrade, remove seats, decrease Extra Volume, or switch yearly → monthly — Charged today may show Nothing (no invoice). That is normal: decreases are not refunded or credited today.
👉 Today’s charge is based on your plan price and the number of days left in the current billing period. Extra Volume added today is also prorated for the days remaining in the period.
Next invoice
This section shows the renewal invoice Wordscope will issue at the start of your next billing period (the date appears in the heading, e.g. “Next invoice (will be issued at the start of the next billing period on …)”).
It reflects your subscription after your changes have fully taken effect — including downgrades or seat removals scheduled for period end:
- Plan tier and billing interval (monthly or yearly)
- Number of paid seats on the roster
- Extra Volume for the new period
- Tax and total for the full renewal cycle
Use Next invoice to see your ongoing recurring cost, not the one-off amount due today.
Notes:
👉 Seat or volume increases appear partly in Charged today (prorated) and fully in Next invoice (full-period renewal). Seat or volume decreases usually appear only in Next invoice, from the next period onward — not as a credit in Charged today.
👉 Important: If you downgrade your plan, remove roster members, or lower Extra Volume, those changes take effect at the end of the current billing period. Until then, Charged today stays at zero for those decreases; Next invoice shows the lower plan, seat count, or volume from the next period.
Confirming your changes
When everything is ok, click

Usage tab
As subscription owner, the Usage tab shows:
1. Your personal usage
- Current usage period (start and end dates)
- Words used / included words / remaining
- Progress bar for AI assistance consumption
- Extra words from the Cost Control pool, when configured

2. Team snapshot (this period)
When you have roster members, a summary table shows:

Per-seat usage on the roster table
For day-to-day management, the roster table is the main place to monitor each Project Manager.

Typical workflow
- After a large MT/AI assignment, check Total used words per Project Manager.
- Identify users near Remaining included words = 0 before a deadline.
- Use roster Status to confirm everyone is active.
- Add Extra Volume or raise Cost Control if the team needs more capacity.

Cost control & Extra Volume
Extra Volume (Team) — purchase additional AI-assisted words for your organization (on Silver and Gold).

Increases vs decreases: Increases to seats or Extra Volume are charged immediately (prorated for the rest of the current period). Decreases take effect at the end of the current billing period.
Decreases are deferred: If you downgrade your subscription, remove seats, or lower Extra Volume, these changes will be effective at the end of the current billing period (the date shown on the subscriptions page). Until then, your current plan, seats, and allowances remain in force.
Roster colours (legend on screen)

Managing your subscription
Upgrades
Upgrading plan tier (e.g. Team Silver → Team Gold), adding seats, increasing Extra Volume, or switching monthly → yearly is applied immediately. The price difference is charged today (prorated).
Downgrades & cancellations
The following changes take effect at the end of the current billing period — not immediately:
- Plan downgrade (e.g. Team Gold → Team Silver or Bronze)
- Subscription cancellation
- Removing roster members (seats)
- Decreasing Extra Volume
- Switching yearly → monthly billing
Restore your current plan: When a plan downgrade is scheduled, you can click Restore [Plan] on your current plan card to cancel the scheduled change and keep your current tier.
Before you cancel: When you cancel, the subscription remains active until the end of the current billing period. You can reverse cancellation before then using I changed my mind – keep my subscription. Tell everyone on your roster to back up their translation memories and glossaries — they will lose access when the period ends.
Email notifications: Roster members receive email notifications when you upgrade, schedule a downgrade, cancel the subscription, remove their seat, or reactivate a pending removal.
Switching to an Individual subscription
Wordscope Team and Individual (freelance) subscriptions are separate products. To move from Team to Individual, you must cancel your Team subscription and subscribe again on the Individual tab — after clearing your roster (remove all members, including those waiting validation).

Tips for team managers
- Each paid roster seat is a Project Manager licence — add colleagues who need to create and assign projects.
- Freelance linguists rarely need a roster seat; share the project URL instead.
- Check the roster regularly during busy periods so no one hits their included word cap unexpectedly.
- Yearly billing saves 10%. Bank transfer on yearly Team invoices is available on request for qualifying organizations.
